To download users for use with Viewpoint Offline you need to be connected to the Internet and logged in to Viewpoint Online as a manager. The users you wish to download must have been created online and have a profile. Also the Viewpoint Offline software will need to be installed on the PC on which you wish to use Viewpoint Offline.

 

1. Open the “Download Users” or “Advanced Download Users” Screen

 

Click on the “Download Users” or “Advanced Download Users” option in the “Offline” section of the menu at the left hand side of the screen (circled in red on Fig 1).

 

The “Download User(s) for Offline Use” or the “Advanced Download User(s) for Offline Use” screen will be displayed (see Fig 2).

 

Note: Download Users and Advanced Download Users perform the same process until step 6. The “Download” or “Advanced Download” Window.

2. Search for the Users you wish to Download

 

Enter the search criteria for the users you wish to download. You can enter either:

 

Matches Exactly – The exact Login Id of the user you wish to download

 

Starts With – The prefix of the Login Id’s you wish to download i.e. if you wish to download the login id’s tester1 to tester 10 then you would enter “tester” in Starts With.

 

Contains – At least one character that the Login Id contains.

 

Or

 

Created On (dd/mm/yyyy) – The date the users were created on.

 

Created On Or Before (dd/mm/yyyy) – The date the users were created on or before.

 

Created On Or After (dd/mm/yyyy) - The date the users were created on or after.

 

Note: If you leave the search criteria blank all users will be returned in the search.

 

Click on the “Search” button to start the search (see Fig 2).

 

 

 

3. Confirm the Search Results

 

The “Confirm Download User(s) for Offline Use” screen will be displayed (see Fig 3). You can review and confirm the number of users that will be displayed for download, if there are a large number of users you may wish to narrow your search criteria. To continue click on the “Confirm” button or to revise your search criteria click on the “Back” button.

4. Select the Login Id’s to Download

 

You can either click on the checkbox to the right of the Login Id (circled in red in Fig 4) to select a Login Id for downloading or if you want to download all the users listed you can click on the “Select All” button at the top of the screen.

 

Once you have selected the Login Ids to download click on the “Select” button at the bottom of the screen.

 

Note: You can select as many Login Id’s as you want, but you can download a maximum of 20 questionnaires.

5. Select the Questionnaires

 

You can either click on the checkbox to the right of the Questionnaire (circled in red in Fig 5) to select a Questionnaire or if you want to download all the questionnaires listed you can click on the “Select All” button at the top of the screen.

 

Once you have selected the Questionnaires to download click on the “Download” button at the bottom of the screen and the “Download” or “Advanced Download” window will pop up depending on which type of download you chose from the menu.

 

Note: The number of Questionnaires selected is shown at the top of the screen, if more than 20 Questionnaires are selected “Over 20” will be shown in red and you will not be able to download.

6. The “Download” or “Advanced Download” Window

 

The “Download Users” Option

 

If you selected the “Download Users” option from the “Offline” section of the menu you will see the “Download” window (see Fig 6). Simply click on the “Download” button and the data file will be downloaded to the “C:\Program Files\Viewpoint\Offline” folder (any data files already in this folder will be overwritten). Now move on to step “7. Download Success or Failure”.

The “Advanced Download Users” Option

 

If you selected the “Advanced Download Users” option from the “Offline” section of the menu you will see the “Advanced Download” window (see Fig 7). Click on the “Download” button and the “File Download” window will pop up (Fig 8).

Click on the “Save” button and the “Save As” window will pop up (see Fig 9).

Browse to the location you wish to save the data file to and change the “Save as type:” to “All Files” then click on the “Save” button and the data file will download and the “Save As” window.

 

Click on the “Close” button and the “Save As” window will close now click on the “Close Window” link on the “Advanced Download” window to continue. The “Advanced Download” window will close. Now move on to step “7. Download Success or Failure”.

 

Note: You can download the data file to any location, but you must move the data file into the “C:\Program Files\Viewpoint\Offline” folder to run Viewpoint Offline.

7. Download Success or Failure

 

You should now see the “Have you Successfully Downloaded the Offline Data file?” window (see Fig 10). If the data file downloaded without any problems click on the “Yes” button. If there was a problem and the data file was not downloaded click on the “No” button.

8. Download Summary

 

If you clicked on the “Yes” button on the “Have you Successfully Downloaded the Offline Data file” screen you will see the “You have successfully downloaded the following user(s)” screen (Fig 11). If you clicked on the “No” button on the “Have you Successfully Downloaded the Offline Data file” screen you will see the “You have not successfully downloaded the following user(s)” screen (Fig 12)
